TERMS & CONDITIONS
These terms govern your participation in RoboVisionär '26. By registering and paying the entry fee, you and every member of your team agree to them in full.

01Who these terms are with
RoboVisionär ’26 (“the Event”) is organized by the RoboVisionär Organizing Committee at Sathyabama Institute of Science and Technology, Chennai (“the Organizers”). All registration fees are collected by the Organizing Committee for the conduct of the Event.
02Eligibility
The Event is open to students currently enrolled at a school, college, or university. Teams may include members from more than one institution. Participants may be asked to produce a valid student identity card at the venue; failure to do so may result in disqualification without refund.
Every participant under the age of 18 must have the consent and acknowledgement of a trusted adult — a parent, legal guardian, or a mentor nominated by their institution — before registering. By registering, the team captain confirms that this consent has been obtained for every such member of the team.
That trusted adult is responsible for the supervision of the minor participant for the duration of the Event. The Organizers may ask for their name and contact details at any point before or during the Event, and may refuse entry where they cannot be identified.
03Registration
All information submitted at registration must be accurate and complete. The Organizers may reject or cancel any registration containing false, misleading, or incomplete information, without refund.
Each team registers separately for each event it enters. To enter two machines into the same event, a team must register twice using a different captain email address for the second entry.
Slots in each event are limited. Where an event is full, registrations are placed on a waitlist and no payment is collected. Waitlisted teams are admitted at the Organizers’ discretion as slots become available.
04Payment
Registration is confirmed only after payment is verified against the transaction reference (UTR) submitted by the team. Submitting an incorrect, reused, or unverifiable UTR will result in the registration being rejected.
The entry fee covers the number of team members stated for that event. Additional members may be added on payment of the per-member fee shown at registration, which entitles them to participate and receive an e-certificate.
Lunch and refreshments are provided to registered participants by Sathyabama Institute of Science and Technology.
05Refunds and cancellation
All payments made are non-refundable, except where an event is cancelled by the Organizers.
If an event does not receive sufficient registrations and is consequently cancelled by the Organizers, the registration fee for that specific cancelled event will be refunded. Fees paid for any other event a team has entered are unaffected and remain non-refundable.
Where a team whose event has been cancelled elects to receive e-certificates for its members, no refund will be processed for that registration. Teams must choose one or the other.

06Prizes
Prize amounts published on this website are indicative and may be revised at the time of event conduction, including in response to the number of registrations received or to circumstances beyond the Organizers’ control.
Prizes are awarded at the Organizers’ discretion and may be withheld where no entry meets the standard required. Winners are responsible for any taxes applicable to prize money received.
07Judging
Events are judged by panels appointed by the Organizers. Teams may appeal for reconsideration of a decision through the process notified at the venue.
In any case, you will be allowed to appeal for reconsideration, but at the end of the day the Judge’s decision will be final and binding on all participants. No correspondence will be entered into after a final ruling.
08Rules and code of conduct
Each event has its own rulebook, published on this website. Rulebooks form part of these terms and are binding. Rulebooks may be revised before the Event; the latest version published here applies.
Participants must conduct themselves respectfully towards other teams, volunteers, judges, and staff. The Organizers may disqualify, without refund, any participant or team engaging in cheating, tampering with another team’s machine, unsafe conduct, harassment, intoxication, damage to venue property, or any breach of the rules or of institutional regulations.
09Safety and liability
Robotics and drone events involve moving machinery, batteries, and electrical systems. Participation is entirely at your own risk. Participants are responsible for ensuring their machines are safe to operate and comply with the specifications in the relevant rulebook.
The Organizers, Sathyabama Institute of Science and Technology, and their staff and volunteers accept no liability for injury to participants or for loss of, theft of, or damage to robots, drones, tools, equipment, or personal property brought to the venue. Participants are advised not to leave equipment unattended.
Participants are liable for any damage they cause to venue property, arenas, or the equipment of other participants.
10Media and photography consent
By registering, you consent on behalf of your team to being photographed, filmed, and recorded at the Event, and to the use of that material by the Organizers and Sathyabama Institute of Science and Technology for promotional, archival, and educational purposes, in any medium, without payment.
Where a team includes minors, the nominated Mentor or Guardian acknowledges this consent on their behalf at the time of registration. If you wish to withdraw consent for a specific individual, write to the Organizers before the Event and we will make reasonable efforts to accommodate the request.
11Schedule and changes
The Organizers may change the schedule, format, venue, arena specifications, or structure of any event where necessary. Material changes will be published on this website. Registration in an event does not guarantee a specific time slot.
12Force majeure
The Organizers are not liable for failure to conduct the Event, in whole or in part, due to circumstances beyond their reasonable control, including natural disaster, epidemic, civil disturbance, government directive, institutional closure, or failure of essential services.
13Personal data
Information submitted at registration is handled in accordance with our Privacy Policy, which forms part of these terms. Please read it before registering.
14Changes to these terms
The Organizers may update these terms. The version published on this website at the time of your registration applies to you. Material changes will be notified on this page.
15Governing law
These terms are governed by the laws of India. Any dispute arising out of or in connection with the Event or these terms is subject to the exclusive jurisdiction of the courts at Chennai, Tamil Nadu.
